1. Who We Are

TaiAn ZhengXian Trading Co., Ltd. is a company registered and operating in China. It runs a village market trading desk from Ningyang County and also provides computer integrated systems design services for partners who keep their own trading and inventory records. In this policy the company is referred to as the Company, and the trading desk handled from No 103, Beimanzhuang Village is referred to as the village desk.

The Company is the controller of the personal information described in this policy. The Company decides why information is collected and how it is used, and it answers questions about that use. Where the Company acts on the written instruction of a buyer or a grower, it treats that party as the party that determines the purpose of the processing, and the Company acts as a processor for the limited purpose of delivering the agreed service.

The developer name used by the Company in its technical work is ZhengXian Trade. That name appears on software documentation, service notes and material prepared for partners who receive systems design work. When correspondence mentions ZhengXian Trade in connection with a website or a software tool, the responsible party for privacy purposes remains TaiAn ZhengXian Trading Co., Ltd.

2. Scope of This Policy

This policy applies to personal information handled through the public website, through email and telephone correspondence with the village desk and through the delivery of trading services, partner sheets, stall notes, day-market letters and stock review rounds. It applies to visitors, buyers, growers, suppliers, couriers and partners who make contact with the Company in any of those channels.

This policy does not apply to websites operated by other organisations, even where those websites are linked from this site. It also does not apply to information that a buyer or a grower holds in its own systems, except where the Company has been engaged to design or maintain those systems, in which case the arrangement between the parties governs the handling of the data.

Where a partner receives a separate written agreement that sets out privacy terms, that agreement takes priority over this policy for the information it covers. In all other respects this policy describes the practice of the Company as it stands on the date shown at the foot of this page.

3. Information We Collect

The Company collects only the information it needs to run a trading desk and to answer the correspondence it receives. The categories below describe that information in ordinary terms.

Identity and Contact Details

  • Names of buyers, growers, contacts and people who write to the desk.
  • Telephone numbers, including mobile numbers used for fair day coordination.
  • Email addresses used for partner sheets, day-market letters and written replies.
  • Business names, stall names and the village or district in which a party trades.
  • Postal addresses used for delivery notes, settle up documents and correspondence.

Trading Information

  • Partner sheet contents, including lines of goods, expected loads and named stalls.
  • Stall notes written during a fair, including counted loads and agreed prices.
  • Day sheet positions recorded at opening, during trading and at settlement.
  • Stock review outcomes and the written result of any market sitting.
  • Records of payment arrangements and settle up confirmations relevant to a trade.

Correspondence

  • Emails, messages sent through the contact form and written notes left at the desk.
  • Notes of telephone conversations kept so that a position can be confirmed later.
  • Documents attached to correspondence, such as lists of goods or route plans.

Technical Information

  • Internet protocol address and general location derived from it.
  • Browser type, device type and the pages visited on this website.
  • Dates and times of visits and the referring page where one is supplied.

The Company does not ask for sensitive personal information such as health records, religious belief or political opinion, and asks that such information is not sent to the desk. If sensitive information arrives without a request, the Company will delete it where it is not needed for a legal obligation.

4. Sources of Information

Most information reaches the Company directly from the person it concerns. A buyer sends a list, a grower confirms a load, a courier passes a delivery note, or a visitor completes the contact form. In each of these cases the information is provided voluntarily, and the person providing it decides what to include.

Some information is created by the Company in the course of the trading day. A stall note is written by a member of the desk staff who walked the lane, and a stock review outcome is written by the person who reconciled the sheets. These records describe a trade and may name the parties involved, but they are created for the purpose of keeping an accurate account rather than for any other use.

A limited amount of information arrives from technical sources when the website is used. Server logs record the address of a request and the time it was made. These logs are generated automatically and are used to keep the site available and secure.

Where a partner supplies information about its own growers or buyers so that the Company can prepare a partner sheet, the partner confirms that it is permitted to share that information. The Company uses it only for the purpose of the agreed work.

5. Purposes of Processing

The Company uses personal information for a small number of clear purposes, each of which is tied to the operation of the village desk or to the systems work it performs for partners.

  • To prepare partner sheet bays and to confirm the stalls and lines they describe.
  • To write stall notes during a fair and to reconcile them afterwards.
  • To send day-market letters to buyers who cannot attend the fair in person.
  • To publish and honour fair windows for named lines of goods.
  • To complete stock review rounds and to close each trading day on a written position.
  • To book and hold market sittings where a disagreement needs to be settled.
  • To answer enquiries, quotations and requests for information.
  • To keep accounting and settle up records required for ordinary business administration.
  • To design, maintain and support information systems for partners who request that work.
  • To protect the website, prevent misuse and keep technical services reliable.
  • To meet legal, tax and regulatory obligations that apply to the Company.

The Company does not use personal information for automated profiling that produces legal effects, and it does not sell personal information to any third party for marketing purposes. Information is not used for a new purpose without a notice to the people it concerns or a clear basis in law.

6. Legal Basis for Processing

The Company processes personal information only where it has a lawful reason to do so. Depending on the circumstances, the reason will be one of the following.

Performance of an Arrangement

Where a buyer or a grower has agreed a trading arrangement with the Company, information is processed because it is needed to carry out that arrangement. This covers the partner sheet, the stall note, the day sheet and the settle up record that follow from a confirmed trade.

Legitimate Business Interests

The Company processes some information because it has a legitimate interest in running an honest and traceable trading desk. That interest includes keeping the record accurate, preventing disputes, protecting the website and improving the clarity of the documents it issues. The Company weighs that interest against the rights of the people concerned and limits the processing to what the interest requires.

Consent

Where a person chooses to receive day-market letters or other updates beyond an active trade, the Company relies on the consent given at the time of the request. Consent may be withdrawn at any point by writing to partners@zhengxiantrade.mom, and withdrawal does not affect processing that took place before the request.

Legal Obligation

Some records must be kept because the law or a tax rule requires it. In those cases the Company keeps the record for the required period and limits its use to the purpose the obligation serves.

7. Trading and Desk Records

The village desk keeps a written record of each trading day. That record begins with the day sheet and the partner sheet bay, continues through the stall notes collected along the lanes and ends with the stock review outcome. Each element may name the buyer, the grower, the stall and the price agreed, because those details are the substance of the trade.

Trading records are held at the Ningyang village desk and in the document system that supports it. Access is limited to desk staff who need the record to prepare a sheet, answer a question or settle a position. When a buyer or a grower asks for a copy of a document that concerns that party, the Company provides it unless the request would reveal information about another person who has not agreed to share it.

Records of a settled position are kept long enough to answer a question raised after the fair and to satisfy ordinary accounting requirements. After that period the record is destroyed or reduced to a summary that no longer identifies the people involved. The Company does not keep trading records for any purpose other than the ones described in this policy.

8. Website and Technical Data

The website is a simple presentation of the services of the Company. It does not require a visitor to create an account, and it does not use advertising networks or cross site tracking products. When a visitor loads a page, the web server records the request in a log that includes the internet protocol address, the time of the request and the file requested.

These logs are used to confirm that the site is available, to diagnose faults and to detect attempts to interfere with the service. They are not used to build a profile of a visitor and are not combined with browsing activity on other websites. Logs are retained for a short period and are then deleted in the ordinary course of system maintenance.

If a visitor uses the contact form, the details entered are not stored on the website server. The form opens the local mail program of the visitor and prepares a message addressed to partners@zhengxiantrade.mom. The message is sent only when the visitor chooses to send it, and the resulting email is handled in the same way as any other correspondence described in this policy.

9. Cookies and Similar Tools

This website does not use cookies to track visitors across sessions and does not place advertising cookies on a device. Any cookie used by the hosting provider is limited to technical functions such as load distribution and security, and it does not identify a person by name.

A visitor who prefers to block cookies may do so through the settings of a browser. Blocking technical cookies may affect the performance of the site but does not prevent a visitor from reading the pages or from using the contact form. The Company does not rely on cookies to make a decision about any person.

Where a partner system built by the Company uses a session cookie to keep a signed in user connected, that cookie is described in the documentation provided to the partner and is used only for the function it performs. Such a cookie is deleted when the session ends or when the period stated in the documentation expires.

10. Sharing and Disclosure

The Company shares personal information only where the trade itself requires it or where the law compels it. A partner sheet is shared with the buyer it was prepared for, because the sheet exists to describe the stalls that will carry the buyer load. A stall note is shared with the grower whose load it records, because the note settles the count.

Beyond those trading exchanges, information may be disclosed in the following limited situations.

  • To a courier or carrier when a delivery requires a name, address and telephone number.
  • To an accountant or auditor when a record must be verified for ordinary accounting.
  • To a payment provider when a settle up is handled through a payment service.
  • To a technical provider that hosts or maintains the website or a partner system.
  • To a public authority where a lawful request is made and the Company is required to answer.
  • To a successor organisation where the business is transferred, subject to equivalent protection.

The Company does not sell personal information and does not provide it to a third party for marketing. When information is shared, only the minimum needed for the purpose is provided, and the recipient is expected to protect it.

11. Service Providers

The Company uses a small number of service providers to keep the desk and the website working. These providers may include a web hosting company, an email provider, an accounting firm and a payment processor. Each provider receives only the information needed for its function and is bound by an agreement that limits its use of the information.

A service provider is not permitted to use information received from the Company for its own marketing or to combine it with information from other clients. Where a provider processes information outside China, the Company checks that the transfer is permitted and that the provider applies protection that is at least equivalent to the standard described in this policy.

The Company reviews its providers from time to time. If a provider cannot meet the required standard, the arrangement is ended and the information it holds is returned or deleted in a verifiable way.

12. International Transfers

Most information handled by the village desk stays in China. Some information may be transferred to another country when a buyer, a grower or a service provider is located outside China, or when a partner system is hosted on infrastructure situated elsewhere.

Before any such transfer, the Company confirms that there is a lawful basis for it and that the recipient will protect the information. Where required, the Company uses a written agreement that sets out the purpose of the transfer, the protection that applies and the way in which the information will be returned or deleted at the end of the arrangement.

A person whose information has been transferred may write to partners@zhengxiantrade.mom to ask for a summary of the transfer and the protection that applies. The Company answers such a request within a reasonable period and does not charge a fee for the first request.

13. Retention Periods

The Company keeps information only for as long as it is needed. Correspondence that does not lead to a trade is usually deleted within twelve months. Correspondence connected to a trade is kept with the trading record for the period that applies to that record.

Partner sheets, stall notes and day sheets are kept long enough to answer a question about the fair they describe and to support the accounting record. Stock review outcomes and market sitting notes are kept for the same period. Accounting records are kept for the period required by tax and company law.

When a retention period ends, the record is deleted or anonymised. Deletion is done in a way that cannot be reversed through ordinary means, and anonymised summaries are reviewed to confirm that they no longer identify a person. If a legal hold applies to a record, retention continues until the hold is released.

14. Security Measures

The Company protects information with measures suited to a small desk that handles ordinary trading records. Paper documents are kept at the village desk in a locked cabinet, and only staff who need a document have access to the key. Digital records are held in accounts protected by strong passwords and, where available, by a second factor.

The website is served over an encrypted connection. Access to the accounts that control the hosting and the email service is limited to a small number of people and is reviewed when a member of staff leaves. Backups are kept so that a record can be restored after a fault, and restore tests are carried out from time to time.

No system is perfectly secure. If a breach affects personal information, the Company investigates promptly, takes steps to limit the harm and notifies the people concerned and any authority that the law requires, together with a plain description of what happened and what is being done about it.

15. Your Rights

Every person whose information is held by the Company has rights over that information. These rights may be exercised by writing to partners@zhengxiantrade.mom or by calling +15156543762 during business hours. The Company will confirm the identity of the person making a request before acting on it.

  • The right to be told what information is held and why it is held.
  • The right to receive a copy of the information in a readable form.
  • The right to have inaccurate information corrected.
  • The right to have information deleted where there is no continuing reason to keep it.
  • The right to limit the use of information while a question is being checked.
  • The right to object to a use that rests on a legitimate business interest.
  • The right to withdraw consent where consent was the basis for the use.
  • The right to ask for information in a portable format where that is feasible.

The Company answers a request within one month and explains any reason why a request cannot be met in full. A request is normally free of charge, although a reasonable fee may apply where a request is clearly excessive or repeated without cause. A person who is not satisfied with the answer may raise the matter with the authority that supervises data protection in the relevant jurisdiction.

16. Privacy for Children

The services of the village desk are intended for adults who trade goods on their own account or on behalf of a business. The Company does not knowingly collect personal information from a child under the age of sixteen and does not direct any part of the website to children.

If the Company learns that information about a child has been received without the agreement of a parent or guardian, it will delete that information promptly. A parent or guardian who believes that a child has sent information to the desk may write to partners@zhengxiantrade.mom and the Company will act on the request without delay.

17. External Links

This website may contain a link to the website of a partner, a payment provider or a public authority. A link does not mean that the Company controls the destination, and the Company is not responsible for the privacy practice of another organisation.

A visitor who follows an external link should read the privacy notice of the destination before providing any information. The Company is happy to answer a question about a link that appears on this site, but it cannot answer for the handling of information by a site it does not operate.

18. Changes to This Policy

The Company reviews this policy from time to time so that it continues to describe the practice of the desk. A change that affects the way information is used will be published on this page with a new effective date, and where the change is significant the Company will also notify people who have an active arrangement.

A visitor who continues to use the website or to trade with the desk after a change has been published is treated as having seen the updated policy. The Company keeps earlier versions so that a question about a past practice can be answered from the version that applied at the time.

19. How to Contact Us

Questions, requests and complaints about privacy should be sent to the village desk. The Company prefers written contact because a written request can be tracked and answered in a form that the person can keep.
